Our services may include personalized travel consultations, destination recommendations, resort and hotel recommendations, cruise planning, honeymoon planning, family vacation planning, group travel coordination, custom itinerary development, transportation recommendations, travel insurance guidance, dining and excursion recommendations, VIP experiences where available, and ongoing travel support before departure.

Every itinerary is thoughtfully developed using our industry expertise, professional relationships, and supplier partnerships to create exceptional travel experiences. While we strive to secure preferred accommodations, amenities, and experiences whenever possible, all reservations remain subject to supplier availability and confirmation.

Client Responsibilities

Travel planning is a collaborative process. Clients are responsible for providing complete and accurate information necessary to coordinate travel arrangements.

Clients agree to provide accurate names exactly as they appear on government-issued identification, carefully review all confirmations and travel documents, notify Latitude 38 Travel promptly of discrepancies or requested changes, meet payment deadlines, obtain all required documentation, understand destination-specific entry requirements, purchase travel insurance if desired, and follow all supplier rules and policies.

Failure to review travel documents or provide accurate information may result in additional fees, reservation changes, denied boarding, or cancellation by travel suppliers.

Quotes, Pricing & Availability

All travel quotations provided by Latitude 38 Travel are based upon pricing and availability at the time they are prepared. Travel pricing is dynamic and may change at any time due to supplier pricing updates, airfare fluctuations, exchange rates, seasonal demand, availability, taxes, government fees, fuel surcharges, or promotional offers.

Quotes do not guarantee availability or pricing until reservations have been confirmed and any required deposits have been received. Clients are encouraged to make reservations promptly to secure preferred accommodations and pricing.

Deposits & Payments

Many travel suppliers require deposits at the time of booking in order to confirm reservations. Deposit amounts, payment schedules, and final payment deadlines vary by supplier and destination.

Failure to submit payment by the required deadlines may result in reservation cancellation, supplier penalties, loss of promotional pricing, forfeiture of deposits, rebooking fees, or reduced availability. Payments made through Latitude 38 Travel constitute authorization to submit payment to the applicable travel supplier on your behalf.

Planning Fees

Latitude 38 Travel may charge professional planning or consultation fees for certain services, depending on the complexity and scope of the requested itinerary. Any applicable planning fees will be clearly communicated before services begin.

Unless otherwise stated in writing, planning fees compensate Latitude 38 Travel for professional consultation, research, itinerary design, supplier coordination, and travel expertise, and are generally non-refundable once planning services have commenced.

Changes to Reservations

Travel plans occasionally change after reservations have been confirmed. Requests to modify travel dates, destinations, accommodations, passenger names, transportation, or itinerary components are subject to supplier approval and availability. Changes may result in additional costs, supplier penalties, fare differences, or administrative fees.

Cancellations & Refunds

Cancellation policies vary among travel suppliers and may differ depending upon destination, travel dates, and reservation type. Certain reservations may be fully refundable, partially refundable, or entirely non-refundable. Refund eligibility is determined solely by the applicable travel supplier and any purchased travel protection plan.

Latitude 38 Travel does not establish supplier cancellation policies and cannot override supplier decisions regarding refunds or penalties. Refund processing timelines vary by supplier and financial institution.

Passports, Visas & Entry Requirements

It is the sole responsibility of each traveler to obtain and maintain all required travel documentation necessary for their itinerary. Depending on your destination, this may include a valid passport, required visas, government-issued identification, vaccination certificates, health documentation, customs declarations, entry permits, and transit documentation.

Latitude 38 Travel cannot be held responsible for denied boarding, refused entry, missed departures, additional expenses, or financial losses resulting from incomplete, inaccurate, expired, or missing travel documentation. Travelers are encouraged to verify all documentation requirements with the appropriate government agencies well in advance of departure.

Health, Safety & Travel Advisories

Every traveler is responsible for understanding the health and safety requirements applicable to their destination. Travel conditions, political situations, natural events, public health concerns, and entry regulations may change rapidly and without prior notice. Clients acknowledge that travel inherently involves certain risks beyond the control of Latitude 38 Travel.

Airline Reservations

Air transportation is provided solely by independent airline carriers. Airlines maintain complete control over flight schedules, aircraft changes, seating assignments, delays, cancellations, baggage policies, boarding procedures, and operational decisions.

Latitude 38 Travel is not responsible for airline schedule changes, missed connections, seating availability, baggage handling, overbooked flights, or operational disruptions. Additional airline fees may apply for baggage, seat selection, upgrades, onboard services, and itinerary modifications.

Hotels & Resorts

Latitude 38 Travel works with a carefully selected network of hotels, resorts, and hospitality partners around the world. Accommodation descriptions, photographs, amenities, and services are provided by the individual property and are subject to change without notice.

While we strive to secure preferred room categories, upgrades, and special requests whenever possible, all requests remain subject to availability and confirmation by the property. Latitude 38 Travel cannot guarantee specific room numbers, views, floor locations, bedding configurations, early check-in, late check-out, complimentary upgrades, or resort amenities.

Cruises

Cruise reservations are governed by the terms and conditions established by the applicable cruise line. Cruise itineraries, ports of call, onboard experiences, entertainment schedules, and excursion offerings remain subject to change due to weather, operational considerations, governmental regulations, or safety concerns.

Tours, Excursions & Activities

Optional tours, excursions, transportation services, and destination experiences are provided by independent local operators. Participation in these activities is voluntary and may involve inherent risks. Clients participate in activities at their own discretion and assume responsibility for understanding any physical requirements, safety guidelines, or limitations associated with each experience.

Supplier Responsibility

Latitude 38 Travel acts solely as an intermediary between clients and independent travel suppliers. Travel services are provided by airlines, hotels, cruise lines, transportation companies, tour operators, destination management companies, insurance providers, and other third-party suppliers.

Because these suppliers operate independently, Latitude 38 Travel is not responsible for supplier negligence, service interruptions, schedule changes, overbookings, mechanical failures, construction or renovations, lost baggage, delays, supplier insolvency, labor strikes, acts or omissions of third parties, personal injury, property damage, theft, service quality, or operational decisions.

Force Majeure

Latitude 38 Travel shall not be liable for delays, cancellations, interruptions, losses, injuries, damages, or additional expenses arising from circumstances beyond our reasonable control. Such events may include severe weather, natural disasters, pandemics, government actions, travel bans, border closures, civil unrest, war, terrorism, labor strikes, transportation disruptions, supplier insolvency, public health emergencies, and acts of God.

Limitation of Liability

Latitude 38 Travel is committed to providing exceptional service, personalized recommendations, and professional travel planning. While we carefully research destinations, accommodations, and travel suppliers, we cannot guarantee the performance or actions of independent third-party providers.

To the fullest extent permitted by applicable law, Latitude 38 Travel shall not be liable for any direct, indirect, incidental, consequential, special, exemplary, or punitive damages arising from travel delays, cancellations, supplier actions, destination conditions, personal injury, illness, property damage, additional expenses, or other circumstances outside our control.

In the event that Latitude 38 Travel is found legally responsible for any claim arising directly from our services, our maximum liability shall not exceed the amount of any professional planning fees paid directly to Latitude 38 Travel for the services giving rise to the claim.

Client Communications

Clients agree to provide accurate contact information and promptly notify us of any changes. Travel documents, itineraries, invoices, confirmations, supplier notices, payment reminders, and important travel updates are generally delivered electronically.

Accuracy of Travel Documents

Upon receipt of confirmations, invoices, itineraries, airline tickets, cruise documents, hotel confirmations, or other travel documentation, clients are responsible for carefully reviewing all details, including passenger names, travel dates, locations, flight numbers, reservations, room categories, transportation details, and destination information. Any errors or discrepancies should be reported immediately.

Special Requests

Latitude 38 Travel is pleased to communicate special requests to travel suppliers whenever possible, including connecting rooms, bedding preferences, dietary accommodations, accessibility requirements, celebrations, honeymoon amenities, anniversary recognition, early check-in, late check-out, and mobility assistance. While every effort is made to communicate these requests, they cannot be guaranteed.

Pricing Errors & Corrections

Latitude 38 Travel makes every reasonable effort to ensure the accuracy of pricing, descriptions, supplier information, promotions, and travel details. However, pricing errors, supplier inaccuracies, or typographical mistakes may occasionally occur. We reserve the right to correct any pricing or informational errors prior to confirmation of a reservation.
